​Lead Wedding and Events Coordinator

We are seeking a highly motivated and experienced Lead Wedding and Events Coordinator to join our team. This is a full-time, in-person position (40 hours per week), and weekend availability is required.
Working from home is not an option.

 

As the Lead Coordinator, you will oversee weddings, banquets, and special events, while also managing staff and supporting the Food & Beverage department. This role requires strong organizational skills, leadership abilities, and a passion for creating exceptional client experiences.

Key Responsibilities
  • Manage all communication with clients and vendors, including details, meetings, and timelines

  • Assist the General Manager in decision-making for the Food & Beverage department

  • Supervise banquet staff, ensuring adherence to guidelines and high-performance standards

  • Assist with scheduling for the Food & Beverage and banquet departments

  • Stay up to date on current wedding and event trends

  • Manage and maintain company social media accounts, including posting and advertising

  • Plan and coordinate outside events to generate additional revenue for the golf club

  • Encourage and maintain a positive, professional work environment

  • Oversee staffing responsibilities, including hiring, training, disciplining, and termination when necessary

  • Build strong relationships with vendors and develop new partnerships

  • Collaborate with the Tournament Director to stay current on outside events

  • Lead wedding rehearsals and serve as the Day-of Wedding Coordinator, including managing event timelines, overseeing décor setup, and ensuring specialty tables and details are executed seamlessly

  • Maintain the cleanliness and organization of the workplace

  • Plan and host the annual food tasting and vendor showcase

  • Organize booking appointments and assist with contracts and payments

  • Attend bridal shows and industry exhibitions at least once per year

  • Coordinate with kitchen and event managers to ensure the smooth running of events

  • Plan and oversee venue setup to align with event requirements

  • Manage banquet facilities within established budgets

  • Assist with menu selection and provide professional recommendations to clients

  • Coordinate outside ordering needs, including cheese and charcuterie, chair rentals, pizza deliveries, linens, and other event essentials
